Granular timeline. Day 0 through day 60.

The implementation guide gave you the four phases. This page shows the day-by-day inside those phases. What happens on day 1, day 3, day 7, day 14, day 30, day 60. Who does what. What's done by end of day.

  1. Day −5

    Pre-kickoff

    Customer actions

    • Receive welcome email with kickoff agenda + pre-kickoff checklist
    • IT provisions OmniTakeoff in SSO directory (if Enterprise)
    • Designated estimator-lead reviews the kickoff agenda

    • CSM scheduled the kickoff call
    • Backend tenant provisioned (auto)
    • Welcome email sent with credentials + Slack invite

  2. Day 0

    Kickoff

    Customer actions

    • Estimator-lead + 1 backup user attend the 90-min kickoff Zoom
    • Designate the trial project (recently-bid + recently-won is ideal)
    • Surface 5–10 historical bid PDFs to the CSM-shared Drive folder

    OmniTakeoff actions

    • CSM walks platform live for 60 min
    • Onboarding engineer ingests the historical bid PDFs
    • Recognizer training kicks off in background (4–8 hr batch)

    Done by end of Day 0

    • Customer team has hands-on tenant access
    • Initial recognizer training job in progress
    • Trial project file imported
  3. Day 1

    First touches

    Customer actions

    • Estimator-lead runs first AI takeoff against the trial project
    • Reviews the takeoff output for ~30 min, gets a feel for confidence-gating

    OmniTakeoff actions

    • CSM is on Slack live for ad-hoc questions
    • Onboarding engineer reviews recognizer-batch output for any anomalies

    Done by end of Day 1

    • First AI takeoff exists for review
    • Confidence-floor configured to customer's preference (default 0.6)
  4. Day 3

    Symbol library kick-up

    Customer actions

    • Estimator-lead annotates ~50 reference symbols (typically 90 min)
    • Reviews + corrects ~100 detections in the review queue

    OmniTakeoff actions

    • Onboarding engineer pairs on annotation cadence (45 min Zoom)
    • Run second recognizer training job overnight

    Done by end of Day 3

    • ~100 confirmed annotations in the symbol library
    • Recognizer accuracy improved meaningfully on test set (specifics shared under NDA)
  5. Day 7

    First check-in

    Customer actions

    • Estimator-lead + onboarding engineer review accuracy curve together (45 min)
    • Identify any custom symbol categories needing manual seeding
    • Plan the first production bid

    OmniTakeoff actions

    • CSM joins for the check-in
    • Onboarding engineer creates symbol-category seeds for any gaps identified

    Done by end of Day 7

    • Recognizer trained on customer's primary trade-context (specific accuracy targets shared under NDA on reference calls)
    • First production bid scheduled
  6. Day 14

    First production bid

    Customer actions

    • Run AI takeoff on the live bid
    • Run a parallel manual takeoff for safety net (we recommend this)
    • Review confidence-gated queue, generate proposal narrative + PDF, submit

    OmniTakeoff actions

    • CSM on-call (Slack channel + Zoom backup)
    • Onboarding engineer reviews final estimate before submission

    Done by end of Day 14

    • First production bid submitted with defensible evidence trail
    • Customer + OmniTakeoff aligned on what worked + what didn't
  7. Day 21

    Second production bid + roll-out

    Customer actions

    • Run AI takeoff on the second bid (manual safety net optional now)
    • Begin onboarding the rest of the estimating team

    OmniTakeoff actions

    • CSM check-in (30 min)
    • Onboarding engineer runs custom recognizer-tuning job for any persistent gaps

    Done by end of Day 21

    • Second production bid submitted
    • Additional estimators trained (typical: 2 days each)
  8. Day 30

    30-day retro

    Customer actions

    • Estimator-lead, backup user, and senior buyer attend 60-min retro
    • Surface what worked, what didn't, what we'd change

    OmniTakeoff actions

    • CSM facilitates the retro
    • Head of Customer Success joins for any escalation paths needed
    • Action items captured + assigned

    Done by end of Day 30

    • Mutual understanding of pilot status against committed metrics
    • 30-day retro doc saved + shared
    • Next-30-day plan agreed
  9. Day 60

    Day-60 review

    Customer actions

    • Estimator team + senior buyer attend 60-min review meeting
    • Walk through pilot-metric evaluation against committed targets
    • Decide: convert to annual contract / extend / decline + refund

    OmniTakeoff actions

    • CSM presents the structured pilot-metric evaluation
    • Founder/CEO joins for any conversion-decision conversation
    • Refund processed within 5 business days if applicable

    Done by end of Day 60

    • Day-60 review complete with documented outcome
    • Either: contract signed for next 12 months, or refund + amicable parting

Reality check

Real timelines drift. We tell you when.

No customer hits this plan exactly. The biggest predictable drift: the symbol-library curve takes longer for shops with highly-customized engineering symbols. We surface the drift in the weekly check-in instead of letting it accumulate.
